Updating and Tracking a Job

Before an actual movement is started it is important to get the system up to the stage where it has been allocated to a fleet and assigned to the driver so that they have all the relevant details. If the job has been sent to an email workforce driver then any updates regarding collection and delivery must be updated manually as is shown below in updatin'. For a job that has been sent to a handheld device all the updates through collection and delivery will automatically update on the CDN system, see 'tracking' below for a breakdown of how this will appear.

Updating

When a job is not being done on a handheld it is vital to keep the system updated so other parties involved in that movement can see the status of the job. When you have recieved confirmation from your driver that the vehicle/s have been collected you will need to open the job, which will be located in 'logistics' - 'my jobs' - 'open jobs'. Once open select 'collect' in the vehicle field as seen below. Here you must select the vehicles from the list which have been collected, or select a non-collection reason if necessary, and click continue. (If required you can mark the vehicles as collected and delivered by selecting the option, see below images). For information on aborted jobs or reassinging see abort and cancel or tranship and reassign. This will update the status of the job as collected and send an email notification to the customer informing them of this.

(Please note - before manually marking a job as delivered if any fuel costs have been incurred they can be added against each vehicle by opening up the vehicle details)

Marking the vehicle as delivered is done in the same way as before by opening the job, selecting 'deliver' in the vehicle field and then selecting the vehicles which have delivered. The status of the whole job will now be 'delivered' and again the customer will recieve an email update to confirm this. When the job is at delivered it is ready to go through to invoicing, for information on this see invoicing.

Tracking

For jobs done on a handheld all the updates regarding the status of the movement are automatically updated on the system and upon delivery the customer will recieve and email pdf. of the signatures taken on the handheld. Nothing needs to be done manually on these jobs until they are delivered, for the next stage after delivered see invoicing. As the job updates progress you will see the status in the vehicle line, and also in the main table of 'open jobs'. You can also track the time that these updates happen in the job history which is located underneath the actions box when you have the job open on the screen. Below is a list of the statuses you will see and what they mean.

  • Sent – the job details have been sent to the drivers handset
  • Received – the driver has received the job details
  • Emailed – (if not on the handheld’s this is the same as sent and received)
  • On Way To Collection – the driver is driving to collection point
  • At Collection – the driver is at collection but vehicle hasn’t been released yet
  • Delivery On Hold – the driver has collected the vehicle but not left the collection point
  • On Way To Deliver – the driver has left the collection point with the vehicle
  • At Delivery – the driver is at the delivery point but still has the vehicle
  • Delivered – the vehicle has been delivered and signed for

For movements done on HH the signatures taken at collection and delivery can be viewed in the job details and will appear as below.
